The 189th Clan is a mature 18+ gaming community run by volunteers. We’re not a company and we don’t sell anything. This page explains what information we collect through our website, our Discord server, our Discord bot, and our YouTube channel, and what we do with it. Short version: we collect what we need to run the community, we don’t sell it, and you can ask us to remove it.
Who we are
The 189th Clan runs http://www.189th-clan.com, the Discord server at discord.gg/189th, and the official 189th Clan YouTube channel. Questions about this policy go to brandt189th@gmail.com or to High Command on our Discord.
What we collect
On the website
Our website is hosted on WordPress. Like most websites, it may log basic technical information when you visit, such as your IP address, browser type, and the pages you view. If our site uses analytics or embeds content from other services (like YouTube videos or a Discord widget), those services may set their own cookies under their own privacy policies.
On Discord
When you join our Discord server, our custom bot (ClanGuard) and other bots we use (such as MEE6) process information Discord makes available to server bots. That includes:
- Your Discord user ID, username, nickname, avatar, and account creation date
- Your roles, rank, platoon, and platform (PC, PS5, Xbox)
- Your activity in the server, like messages, voice channel time, event RSVPs and attendance, and the game you’re playing while in voice (if you share that status with Discord)
- Which invite link you used to join
- Anything you submit to us directly, such as staff applications, tickets, and reports
Some meetings held in our voice channels are recorded so the bot can generate written minutes. Meetings that are recorded will be announced as such. Recordings and minutes are only available to members with access to the meeting channels.
On YouTube
Members can submit gameplay clips through our Discord bot. When someone presses the Upload button, the bot uploads that clip to the official 189th Clan YouTube channel. Clip titles and descriptions may credit the member who made the clip by their Discord or gamer name.
Donations
Donations are handled entirely by PayPal. We see what PayPal shows us about a donation (typically your name, email, and amount), but we never see or store your card or bank details.
How we use it
We use this information to run the community, and that’s it:
- Automated promotions, XP, and ranks based on activity
- Our AWOL system, which flags inactive members and removes them after 30 days of inactivity
- Security, like blocking brand new accounts, catching impersonators, and scanning for malicious links
- Running events, reminders, and looking-for-group posts
- Internal stats for officers, like retention and event turnout
- Sharing member clips on our YouTube channel and Discord
We don’t sell your information, and we don’t share it with advertisers.
Google and YouTube data
Our Discord bot uses the YouTube Data API to upload videos to the 189th Clan’s own YouTube channel. It only asks Google for permission to upload videos. It does not access anyone else’s YouTube account, and it does not read or store private YouTube or Google account data.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. By using features that upload to YouTube, you are also subject to the YouTube Terms of Service and the Google Privacy Policy.
The channel owner can revoke the bot’s access at any time at myaccount.google.com/connections.
Who can see it
Most of what the bot tracks is only visible to High Command and officers who need it to do their jobs. Things like your rank, promotions, and event attendance may be visible to the whole server. Clips uploaded to YouTube are public, like any other YouTube video.
We use a few outside services to run things: Discord, Google and YouTube, PayPal, WordPress hosting, our bot server host, and an AI service that turns meeting recordings into written minutes. Each of those handles data under its own privacy policy.
How long we keep it
We keep member data while you’re in the community and for a reasonable time after, so records like rank history make sense if you come back. Bot data is backed up in encrypted off-site storage. If you want your data deleted, just ask.
Your choices
- Get a copy or delete your data. Email us or message High Command on Discord, and we’ll handle it.
- Remove a clip. If a clip of yours is on our YouTube channel and you want it taken down, tell us and we’ll pull it.
- Leave anytime. Leaving the server stops any new data from being collected about you.
Age
The 189th Clan is for adults 18 and older. We don’t knowingly collect information from anyone under 18. If we find out a member is under 18, we’ll remove them and their data.
Changes
If we change this policy, we’ll update the date at the top of this page and post about it in our Discord.
